Top CRM Solutions for a Single Customer View in the UK: 2026 buyer’s guide for SMEs

A single customer view CRM puts every email, call, note, document and deal for one customer on one record your whole team can open. UK SMEs should judge options on six criteria: record depth, relationships, email capture, access and change history, duplicate handling and pound pricing.

This guide compares Maximizer CRM, HubSpot, Pipedrive, Salesforce and Zoho CRM. Maximizer CRM publishes it, so each comparison says what the others do well and where Maximizer CRM stops. Vendor facts were checked on 21 October 2026 from each vendor’s own public pages, and Maximizer CRM prices on the same date. Prices and features may have changed since, so confirm current terms with each vendor before you buy. Product names belong to their owners. If you spot an out-of-date fact, contact Maximizer CRM and it will be checked.

What is a single customer view CRM, and how does it differ from a contact record?

A single customer view CRM holds everything your business knows about one customer on one record: contact details, every email, call and meeting, notes, documents and open deals. Some UK firms say single client view instead. A basic contact record stores a name, a number and a few tasks, and says nothing about the wider relationship.

For an SME, the record usually needs five things: the person and the organisation they work for, the full email and call history, open quotes and deals, the tasks your team owes them, and notes on anything agreed. If a colleague has to open an inbox, a spreadsheet and a shared drive to find those, the CRM is not delivering a single view.

A single customer view in a CRM is also different from a customer data platform, which combines data from many systems for analysis and marketing. Most SMEs need the CRM version first: one record per customer that your team keeps current as it works.

Why does a split customer record matter to a UK SME?

A split customer record slows every customer conversation and every data request. When history sits across inboxes, spreadsheets and several tools, a colleague who is off sick takes the context with them, and a follow-up can go to someone who has already bought.

The ICO’s guide to subject access says you must respond to a subject access request without undue delay and within one month of receipt, and that you must make a reasonable and proportionate search. Its checklist also asks whether you have suitable information management systems to efficiently locate and retrieve information. A single record gives you one place to start that search. It does not replace searching your other systems. This is general information, not legal advice.

Salesforce’s State of Sales survey, published in February 2026, asked 4,050 sales professionals in 22 countries, including the United Kingdom, between August and September 2025. It found that 51% of sales leaders with AI say disconnected systems are slowing down their AI initiatives. It is a vendor-run survey of sales professionals worldwide and not specific to the UK, but it shows how widely teams report disconnected systems as a problem.

Which six criteria define a good single customer view CRM?

Six criteria separate a single customer view from a contact list: record depth, relationships, email and calendar capture, access and change history, duplicate handling, and published UK price. The first five describe the record, and the sixth keeps the comparison in pounds with each vendor’s billing basis. These are Maximizer CRM’s editorial criteria, and Maximizer CRM publishes this guide.

  1. Record depth: what the vendor’s documentation says the record holds, including emails, notes, files and customisable fields. Ask: can a colleague see the whole history without leaving the record?
  2. Relationships: how the record links people to organisations and to each other. Ask: can I see every contact at one customer on one screen?
  3. Email and calendar capture: how emails and meetings reach the record. Ask: does a rep save an email in one click, or retype it?
  4. Access and change history: who can see or edit a record, and whether a change log exists. Ask: can I restrict a record, and see who changed it?
  5. Duplicate handling: how the CRM treats two records for the same person. Vendors document this unevenly, so the table below leaves it out. Test it with your own data (see the last section).
  6. Published UK price and billing basis: the list price in pounds, and whether it is billed annually or monthly.

How do the main CRMs compare on a single customer view?

HubSpot, Maximizer CRM, Pipedrive, Salesforce and Zoho CRM all document a record that gathers activity in one place. They differ in how they link people to organisations, how they show change history, and what they publish about UK pricing. Vendors are listed alphabetically, not ranked. Facts come from each vendor’s own public pages, checked on 21 October 2026. Where a cell says “confirm with the vendor”, the fact could not be verified from the vendor’s own page.

CRM What the record holds Links between people and organisations Email and calendar capture Who can see a record, and change history Published UK price and billing basis
HubSpot Activities tab with note and email filters; attachments in the sidebar Associations to companies, deals and tickets Confirm by plan with HubSpot Property history shows change source and timestamp; record access view (Professional or Enterprise) shows which users and teams can view or edit a record Ask HubSpot for the pound price and billing basis
Maximizer CRM Interaction history, emails, notes, call logs and documents on every plan; consolidated timeline reporting from Core Related Entries across accounts on Business+ Save and send emails from Outlook to Maximizer CRM entries; sync Outlook appointments Permissions by user or role on every plan; by record type from Core Starter £15, Core £50, Business £63, Business+ £69 per user per month, billed annually, excluding applicable taxes (checked 21 October 2026)
Pipedrive Detail view holds emails, files, activities and notes for a person, deal or organisation Person detail view shows the organisation the person is linked to Confirm by plan with Pipedrive Changelog tab lists every change to an item since it was created, by date and time Ask Pipedrive for the pound price and billing basis
Salesforce Single customer view guide describes one profile combining all of a customer’s information from different sources Confirm by edition with Salesforce Confirm by edition with Salesforce Confirm by edition with Salesforce Ask Salesforce for the pound price and billing basis of the edition you need
Zoho CRM History entries cover changes to details, notes, attachments, tasks, meetings, calls and emails, with source and time Related lists show connected records, such as contacts under an account Confirm by edition with Zoho Users with permission to view a record can view its timeline; three years of change details are stored Ask Zoho for pound prices by edition

Duplicate handling is the sixth test and is not in the table. Admin load is a matter of editorial judgement, so it is not attached to any vendor here.

HubSpot: record layout and record access

HubSpot’s record page puts an Activities tab, associated companies and deals, and attachments in one layout. Its property history shows the source and timestamp of each change, and its record access view shows which users and teams can view or edit a record on Professional and Enterprise subscriptions. Its Catch-up tab also lists detected duplicates on Starter, Professional and Enterprise. Ask HubSpot for the pound price and billing basis for the seats you need, and which email capture works on your plan.

Pipedrive: detail view and changelog

Pipedrive’s detail view holds emails, files, activities and notes for a person, deal or organisation, and the person view shows the organisation they are linked to. Its Changelog tab lists every change to an item since it was created, by date and time. Ask Pipedrive for the pound price and billing basis, and which plan includes the features you need.

Salesforce: one profile from many sources

Salesforce’s single customer view guide describes one profile that combines all of a customer’s information from different sources, and lists removing duplicates and giving each customer a single ID as one of its five steps. Ask Salesforce which edition includes the record features you want, and for that edition’s pound price and billing basis, before you compare it with any other vendor.

Zoho CRM: timeline and history

Zoho CRM’s Timeline tab has a History view that records changes to details, notes, attachments, tasks, meetings, calls and emails, with the source and time of each change, and it stores three years of change details. Users with permission to view a record can view its timeline. Ask Zoho for pound prices by edition.

Maximizer CRM: one place from the first plan

Maximizer CRM’s Starter plan keeps contacts, leads and conversations in one place, and every plan lists interaction history, emails, notes, call logs and documents on the record. Teams that work in email can save and send emails from Outlook to Maximizer CRM entries and sync Outlook appointments. Permissions by user or role apply on every plan, and permissions by record type start at Core. Maximizer CRM also offers on-premise deployment on request.

Two limits are worth knowing. Related Entries, which shows linked records across your accounts, is listed as a Business+ feature at £69 per user per month, so the Starter, Core and Business plans do not list it. Implementation and configuration, and training, are additional purchases on every plan, so ask for a quote for your set-up.

Even so, Maximizer CRM suits an SME that wants a modern CRM with the customer record, Outlook capture and role-based access in place from a published £15 starting price, and a clear route up to relationship views and AI insights as the team grows.

What does an SME’s customer record need to hold?

An SME’s customer record needs the person and their organisation, the full email and call history, open quotes and deals, tasks and notes, all visible to anyone with permission. Maximizer CRM’s Starter plan keeps contacts, leads and conversations in one place, Core adds customisable fields and lists, and Business+ adds Related Entries across accounts.

Start with the people. A customer is rarely one contact. A buyer, a finance contact and a site lead may all email you, and your team needs to see them together. Next, capture the conversations. Emails and meetings should reach the record without retyping, or the record goes stale. Then add the fields your trade needs, such as contract renewal date, account type or order frequency, so the record reflects how you sell. Finally, show the pipeline stage on the same screen, so a colleague who opens the record knows what is open.

What should you ask any vendor about UK data protection and hosting?

Where customer data is hosted is one procurement question among several, alongside sub-processors, transfer terms and support access. The ICO’s international transfers guidance, updated on 15 January 2026, says UK GDPR contains rules about transfers of personal information to separate organisations located outside the UK. Maximizer CRM’s privacy policy states that its CRM software is hosted on United Kingdom infrastructure for EMEA customers.

Ask every vendor on your shortlist, in writing:

  1. Where is my data hosted, and can I choose the region?
  2. Who are your sub-processors?
  3. What transfer mechanism applies if data leaves the UK?
  4. Who can access my data for support, and from where?

Maximizer CRM’s on-premise CRM is available on request for firms that want to host on their own server. This is general information, not legal advice. Take advice from a qualified adviser if you need a view for your own business.

How much does a single customer view CRM cost in pounds?

Maximizer CRM publishes four priced UK plans, from Starter at £15 to Business+ at £69 per user per month, billed annually and excluding applicable taxes (checked 21 October 2026). For other vendors, ask for the pound price and billing basis, then run the same sum for your headcount.

Plan Price per user per month What it adds for a single customer view
Starter £15 Contacts, leads and conversations in one place; work directly from Outlook
Core £50 Customisable fields and lists; permissions by record type; open API
Business £63 Whole pipeline and forecast in real time; custom dashboards for reps, teams and leaders
Business+ £69 Related Entries across accounts; AI insights that flag deals needing attention; automated workflows
Enterprise Custom Contact Maximizer CRM
On-Premise On request Contact Maximizer CRM

All prices are per user per month, billed annually and excluding applicable taxes. Here is a worked example. Five users on Business at £63 come to £3,780 a year at list price, before taxes, implementation and training. Run the same sum for each vendor on your shortlist, using the plan that includes the features you need, and compare billing basis and currency before you compare totals. How do you test a single customer view CRM before you buy?

Run four tests with your own data before you buy: load one real customer with a year of emails, import a file with known duplicates, restrict access for one user, then try to find everything held on one person. A CRM that passes all four gives you a record you can rely on.

  1. Load a real customer. Check that emails, meetings, notes and files land on one record without retyping.
  2. Import duplicates. Add a short file with two entries for the same person and see what the CRM does.
  3. Restrict a record. Set one record so a colleague cannot open it, and check who can see its change history.
  4. Search for one person. Time how long it takes to find everything held on them, as a dry run for a subject access request.

Frequently asked questions

What is a single customer view CRM?

A single customer view CRM holds everything your business knows about one customer on one record: contact details, emails, calls, meetings, notes, documents and open deals. Your whole team sees the same history, so nobody searches several systems before a customer call. Some UK firms call it a single client view.

Is a single customer view the same as a single client view?

Yes, in practice. Single customer view is the more common UK phrase, and single client view is common among advisers and professional services firms. Both mean one record holding the full relationship. When you compare vendors, check what each documents the record holds rather than relying on the label.

Does an SME need a single customer view CRM?

It helps once more than one person talks to the same customers, or once history sits in personal inboxes and spreadsheets. A single customer view keeps contact details, email history, tasks and pipeline stage on one screen. Maximizer CRM’s Starter plan, at £15 per user per month billed annually, keeps contacts, leads and conversations in one place.

How much does a single customer view CRM cost for a UK SME?

Prices vary by vendor and plan. Maximizer CRM publishes plans from £15 to £69 per user per month, billed annually and excluding applicable taxes (checked 21 October 2026). Ask other vendors for the pound price and billing basis, then add onboarding, training and integration costs to reach a first-year figure.

Does a single customer view CRM help with subject access requests?

It can make the first search easier, but it does not replace the search the law requires. The ICO says you must respond to a subject access request within one month of receipt and make a reasonable and proportionate search. This is general information, not legal advice.

Where is Maximizer CRM hosted for UK customers?

Maximizer CRM’s privacy policy states that its CRM software is hosted on United Kingdom infrastructure for EMEA customers. On-premise deployment is available on request for firms that want to host on their own server. Confirm hosting, sub-processors and support access for your plan during a free demo.
