Top CRM Solutions for Distributors in the UK: How to choose the right fit
The top CRM solutions for distributors in the UK hold each trade account’s order history and agreed pricing, connect to your accounting or ERP system, and document where your data is hosted. Maximizer CRM, Microsoft Dynamics 365 Sales, Salesforce Sales Cloud, HubSpot Sales Hub, Pipedrive and NetSuite CRM each suit a different kind of distributor.
This guide is a fit comparison, not a ranking. Maximizer CRM published it and is one of the six platforms compared. Prices were checked on 8 October 2026 from each vendor’s public pages, and each one carries its billing basis. To see how a modern CRM handles your own accounts, book a free Maximizer CRM demo.
What does a CRM need to do for a UK distributor?
A CRM for a UK distributor needs to hold each trade account’s order history, agreed prices and credit terms on one record. It should show which accounts are ordering less, and it should connect to the system that holds your stock and invoices.
Distributors sell to the same accounts again and again, so the account record matters more than the lead. A CRM earns its place when it makes a slowing account visible before the customer tells you. Buyers asking for advice in public CRM forums often list the same needs: customer profiles, order history, opportunities and revenue in one place, plus a link to the website or accounting system.
Six criteria shape the comparison in this guide, and they apply equally to every platform:
- Account context: whether order history, agreed prices and credit terms sit on one customer record.
- ERP and accounting fit: whether the vendor lists a connection to the system that holds your stock and invoices.
- Documented hosting: where the vendor says your data is hosted, in its own documentation.
- Field and mobile access: whether reps can reach account records from a phone.
- Admin and implementation load: how much setup, training and ongoing configuration the vendor describes.
- Entry price: the lowest published paid price, in the vendor’s published currency, with billing basis and date.
Maximizer CRM’s page for distributors describes keeping order history, price agreements and credit terms against the account, which maps to the first criterion.
Do you need a CRM, an ERP with CRM, or both?
A CRM records customer relationships, sales activity and pipeline. An ERP system runs stock, purchasing, orders and finance. A distributor needs the CRM to read from the ERP rather than duplicate it.
That leaves three routes. The first is an ERP with CRM built in. NetSuite states that its CRM is included with the NetSuite platform, though additional CRM licences are needed, and its CRM page describes a quote-based licence with a one-time implementation fee. The second is a CRM that sits beside your accounting or ERP system and connects to it. The third is a CRM built only for wholesalers, covered below.
Some buyers in public CRM forums advise choosing the ERP or accounting platform first and adding a companion CRM afterwards. That is a community view rather than a rule, but it is worth testing against your own systems.
Maximizer CRM is a CRM, not an ERP. Its integrations page lists Sage Accounting, Xero and QuickBooks as third-party integrations, and Open API access starts at the Core plan. If your stock and invoices live in a system outside that list, ask about a custom integration before you commit, and confirm the fit with your exact Sage product.
How do the top CRM solutions for distributors compare?
Six CRM solutions may suit different kinds of UK distributor, depending on your systems and how your team sells. Dynamics 365 Sales may suit Microsoft-centred firms and Salesforce Sales Cloud may suit heavily customised builds. HubSpot Sales Hub may suit marketing-led selling, Pipedrive may suit simple pipelines, and NetSuite CRM may suit ERP-led firms. Maximizer CRM suits account-focused sales teams that want interface-based configuration.
The “worth considering if” column below is Maximizer CRM’s editorial view, not a vendor statement, and any platform may suit firms outside these descriptions. AI details come from each vendor’s pricing page, checked on 8 October 2026.
| Platform | Worth considering if (editorial view) | AI approach |
|---|---|---|
| Maximizer CRM | Your sales team works account by account and wants interface-based configuration | AI insights and Maximizer AI in Outlook on Business+ |
| Dynamics 365 Sales | Your back office already runs on Microsoft | Copilot in Dynamics 365 in Enterprise; 1,000 Copilot Credits in Premium |
| Salesforce Sales Cloud | You plan a heavily customised build | Agentforce for Sales available for purchase on Core and Advanced; included in Max |
| HubSpot Sales Hub | Your selling is led by marketing and your team is small | Agent Hub and Breeze Assistant |
| Pipedrive | You want a simple, visual pipeline | AI-powered report creation in Lite; AI-powered multi-email tools in Premium |
| NetSuite CRM | You are choosing or running NetSuite ERP and want CRM on the same platform | Not covered in the sources reviewed |
Microsoft Dynamics 365 Sales
Dynamics 365 Sales has three fixed-price tiers: Professional at £50.00, Enterprise at £80.70 and Premium at £115.30 per user per month, paid yearly and excluding VAT. Enterprise includes Copilot in Dynamics 365 and agentic capabilities, and Premium includes 1,000 Copilot Credits, which Microsoft’s UK pricing page says are required to run prebuilt and custom agents. That combination may suit a team that already works in Microsoft tools and wants AI agents inside the CRM. Microsoft notes that your actual price is confirmed at checkout, so ask for a written quote.
Salesforce Sales Cloud
Salesforce publishes five price points in pounds. Starter Suite costs £20 per user per month (billed monthly or annually) and Pro Suite costs £80 (billed annually). Sales Cloud Core is £156, Advanced is £316 and Max is £440 per user per month, all billed annually. Agentforce for Sales is available for purchase on Core and Advanced and included in Max. Salesforce’s Hyperforce page lists the U.K. among its regions. Ask Salesforce what configuration time and support your build would need.
HubSpot Sales Hub
HubSpot’s free plan covers up to two users, and Agent Hub gives you a central place to build and manage AI agents across the platform. HubSpot publishes Sales Hub prices in US dollars, and its pricing page shows monthly and annual options without labelling every figure, so this guide does not quote per-seat rates or convert them to pounds. Check current rates on HubSpot’s site. Sales Hub Professional carries a required one-time onboarding fee of US$1,500, and Enterprise carries US$3,500. HubSpot’s hosting regions are listed in the hosting table below.
Pipedrive
Pipedrive keeps pricing simple: Lite is US$14, Growth is US$39, Premium is US$59 and Ultimate is US$79 per seat per month, billed annually and excluding VAT. Workflow automation starts at Growth, and Growth also lets you sell and track products billed as subscriptions or instalments. Pipedrive’s sub-processors page lists UK (London) among its AWS hosting regions. If your accounts have customer-specific pricing, ask Pipedrive how it would be recorded, because its pricing page (checked 8 October 2026) does not mention price lists.
NetSuite CRM
NetSuite CRM sits inside Oracle’s NetSuite platform. Its CRM page says your licence combines a core platform, optional modules and the number of users, billed as an annual fee, and that a one-time implementation fee applies. The page shows no price and asks you to contact NetSuite. NetSuite describes CRM as part of its ERP platform, so evaluate it alongside your ERP decision. It may suit you if you are choosing or already running NetSuite ERP.
Distribution-specific platforms
A newer group of vendors builds CRM for wholesalers alone. WizCommerce launched WizCRM on 31 August 2026, letting teams convert quotes into ERP-synced orders without leaving the CRM, and says it works with more than 500 wholesale and distribution brands in the US. WebPresented describes WPCRM on its G2 listing as a CRM for the wholesale distribution and manufacturing markets, built from an ERP-integration perspective. UK availability is not documented in the sources reviewed, so confirm UK support, pricing in pounds and hosting before you shortlist one.
Maximizer CRM
Maximizer CRM is a modern CRM that publishes UK pricing in pounds: Starter at £15, Core at £50, Business at £63 and Business+ at £69 per user per month, billed annually and excluding applicable taxes. Open API access starts at Core. Advanced Pipeline Management starts at Business. AI insights, Maximizer AI in Outlook and Automated Workflows come with Business+. Your data is hosted on United Kingdom infrastructure for EMEA customers, per Maximizer CRM’s privacy policy, and on-premise deployment is available on request. The mobile app lets you update client information and manage your pipeline from your phone.
Be clear about what Maximizer CRM is not. It is not an ERP, so stock and invoice data reach it through integrations. Implementation and training are additional purchases on every plan. Its mobile app page does not document offline use (checked 8 October 2026), so ask in a demo if your reps work in depots with poor signal. Its AI focuses on insights and workflow support rather than autonomous agents, so compare Agent Hub and Agentforce if agent-building is a priority.
If your sales team sells to the same accounts repeatedly, wants to configure fields and workflows in the interface, and values a UK-hosted option with on-premise available, Maximizer CRM may suit you. Its Advanced Pipeline Management on Business and Automated Workflows on Business+ cover the follow-ups that repeat business depends on.
What does a CRM cost a UK distributor?
Maximizer CRM list prices run from £15 to £69 per user per month, billed annually and excluding applicable taxes. Dynamics 365 Sales runs from £50.00 to £115.30, and Salesforce Sales Cloud core editions run from £156 to £440. Billing basis, currency and add-on fees matter as much as the headline number.
Prices verified 8 October 2026. Plans differ in features across vendors, so the table shows each vendor’s published prices, not like-for-like equivalents. Confirm current prices with each vendor before you decide.
| Platform | Published prices | Currency | Billing basis |
|---|---|---|---|
| Maximizer CRM | Starter £15, Core £50, Business £63, Business+ £69; Enterprise custom; On-Premise on request | GBP | Per user per month, billed annually, excluding applicable taxes |

| Pipedrive | Lite US$14, Growth US$39, Premium US$59, Ultimate US$79 | USD | Per seat per month, billed annually, excluding VAT |
| NetSuite CRM | By quote | Not published | Annual licence plus one-time implementation fee |
The list price is only part of the cost. HubSpot Sales Hub Professional and Enterprise add one-time onboarding fees of US$1,500 and US$3,500. NetSuite adds a one-time implementation fee. Salesforce Agentforce for Sales is available for purchase on Core and Advanced. Maximizer CRM implementation and training are additional purchases on every plan. See the full Maximizer CRM pricing page for the current plans.
Where is your CRM data hosted, and does it matter under UK GDPR?
Check where a CRM vendor hosts your data in its own documentation, not its marketing. Maximizer CRM’s privacy policy states United Kingdom hosted infrastructure for EMEA customers, and other vendors document different regions.
The ICO’s guide to international transfers explains that UK GDPR regulates transfers of personal information to organisations outside the UK, and that a restricted transfer must be covered by adequacy regulations, appropriate safeguards or an exception (guide last updated 15 January 2026). UK hosting and UK GDPR compliance are therefore related questions, not the same one. This is general information, not legal advice.
The law has also moved recently. The ICO states that all the provisions affecting data protection law and PECR in the Data (Use and Access) Act 2025 are now in force. You can read the Act itself on legislation.gov.uk. For a longer look at the questions to put to vendors, see Maximizer CRM’s guide to CRMs for UK tech companies.
Hosting documented by each vendor, checked 8 October 2026:
| Platform | Hosting documented by the vendor |
|---|---|
| Maximizer CRM | United Kingdom hosted infrastructure for EMEA customers (privacy policy, page modified 30 January 2026) |
| Dynamics 365 Sales | United Kingdom listed within Europe macro regions in Microsoft’s Power Platform documentation (updated 3 October 2026); confirm the region for your environment |
| Salesforce | U.K. listed among Hyperforce regions (page modified 5 October 2026) |
| HubSpot | AWS regions: EU (Germany), US East and West, Canada, Australia; a UK region is not listed on this page |
| Pipedrive | UK (London) listed among AWS regions (page current as of 28 August 2026) |
| NetSuite CRM | Not covered in the sources reviewed |
If your firm needs to run the CRM on its own servers, Maximizer CRM offers on-premise deployment on request.
How should you shortlist a CRM for your distribution business?
Shortlist a CRM by testing each one against your own accounts and systems. List the ERP or accounting software you run, load three real trade accounts into each demo, ask for hosting in writing, and price the full cost in one currency.
- List your systems. Write down the accounting package or ERP your team uses, such as Sage, Xero, QuickBooks or NetSuite, and ask each vendor how it connects.
- Test three real accounts. Ask each vendor to show a trade account with order history, agreed prices and credit terms, then check how long that setup takes.
- Ask for hosting in writing. Request the vendor’s documented hosting locations and processor terms.
- Price the full cost. Add licences, implementation, training, AI add-ons and taxes, in one currency and one billing basis.
- Book the demos. Put the same accounts and the same questions in front of every vendor.

How was this comparison compiled?
This comparison uses each vendor’s own public pricing pages, documentation and announcements, checked on 8 October 2026. Maximizer CRM published this guide and has a commercial interest in it, so check every figure with the vendor before you decide.
Pricing, plans, AI features and hosting regions change often, and some vendors confirm prices only at checkout. Product and company names belong to their owners and appear here for identification only. Nothing in this guide is legal, financial or procurement advice. If you spot something out of date or inaccurate, contact Maximizer CRM so the guide can be corrected.

Frequently asked questions
What is the best CRM for distributors in the UK?
The best fit depends on your back office. If an ERP already runs your stock and finance, consider a CRM that reads from it, such as NetSuite CRM or Dynamics 365 Sales. If account-focused sales teams lead, shortlist Maximizer CRM, Pipedrive or HubSpot Sales Hub and test them on your own accounts.
Does a distributor need a CRM if it already has an ERP?
An ERP holds orders, stock and invoices. A CRM adds relationship history, pipeline and follow-up reminders. Many distributors run both and connect them, so sales teams see account context without asking the warehouse. If you run NetSuite, note that NetSuite states CRM is included with its platform, though additional CRM licences are needed.
Can a CRM show stock levels to sales reps?
Only through a connection to the system that holds stock, because a CRM does not hold stock itself. Without that link, reps still have to ask the warehouse. Ask each vendor which accounting or ERP connections it lists, then test your own system in a demo before you commit.
How much does a CRM cost for a UK distributor?
Maximizer CRM plans run from £15 to £69 per user per month, billed annually and excluding applicable taxes (verified 8 October 2026). Other vendors publish different currencies and billing bases, so compare the full cost, including implementation, training and add-ons, in one currency before you decide.
Where should a UK distributor’s CRM data be hosted?
Ask each vendor for documented hosting locations and processor terms. Maximizer CRM’s privacy policy states United Kingdom hosted infrastructure for EMEA customers. The ICO explains that UK GDPR regulates transfers outside the UK, so confirm which safeguard covers any transfer. This is general information, not legal advice.
Does Maximizer CRM work with Sage, Xero or QuickBooks?
Maximizer CRM’s integrations page lists Sage Accounting, Xero and QuickBooks as third-party integrations (checked 8 October 2026). The page does not name an ERP system or describe setup or cost, so confirm the fit with your exact accounting or ERP version in a demo.
